Creating a Decoration List for Custom Products

Overview
Decoration Lists in BakeSmart allow you to build a catalog of decorations your staff can apply to Custom Products. These lists help standardize offerings, ensure consistency, and make it easy for employees to find the right options during order entry. Whether you’re managing sprinkles, toppers, fondant accents, or seasonal décor, Decoration Lists give you a structured way to organize and price them.

There is no limit to how many decorations you can add. You can build as many lists and as many decorations as needed to match the way your bakery actually operates. This flexibility ensures BakeSmart adapts to your business rather than forcing your workflow into rigid categories.

Navigating to the Decorations Area

  • From the Dashboard, click Products.
  • In the left-hand menu, select Product TypesCustom.
  • Open the Decorations tab.

This is your central hub for all decoration lists. Think of it as your library — every list you create lives here, alphabetized, ready to be pulled into products when needed.


Creating a New Decoration List

  • Click +Add Decoration List in the top right corner.
  • Enter a descriptive name (e.g., Cupcake Decorations, Buttercream Finishes).
  • If you want the list to appear on board slips, check the box.
  • Click Save — your new list will appear alphabetically among existing lists.

Adding Decorations

Once your list is created, you can add individual decorations. Decorations can vary widely, but for understanding pricing later, it’s helpful to think in two example categories:

Full Decorations (Example) – Applied across the entire product.

  • Example: Rosette Frosting – Full Cake
  • Pricing often scales with cake size or servings.

Singular Add-Ons (Example) – Smaller accents or features.

  • Example: Two Buttercream Roses with Buds
  • Pricing is usually fixed “per each” or per set.

Steps to add a decoration:

  • Scroll to your list and click +Add Decoration.
  • Enter a clear, descriptive name.
  • Upload a photo (optional but recommended).
  • Add Employee Notes (e.g., “Apply only to the top edge”).
  • Adjust the category if needed.
  • Add Decoration Tags – these act as searchable keywords (e.g., floral, wedding, sprinkles). Tags are critical because they allow staff to quickly locate a decoration during the customer order process, instead of scrolling endlessly through long lists.
  • Click Save.

Understanding the Price Matrix

Before assigning prices, confirm that your Price Matrix is set up correctly.

  • Navigate to Product Types → Custom → Setup Matrix.
  • Size Groups – define product sizes (Cupcake, 7” Round, ¼ Sheet, etc.).
  • Quality Groups – Standard, Premium, Elite (or customized for your bakery).

Pricing Decorations

  • You can assign pricing to decorations in three ways:
  • Price Each – Flat fee, regardless of size.
  • Example: Roses and Buds = $5 each set.
  • Price Matrix – Price varies by size group.
  • Example: Sprinkle Border costs more on larger cakes.
  • Price per Serving – Multiplies price × servings.
  • Example: Disco Dust Full Coverage on a 100-serving cake vs. 20-serving cake.

💡 Use the method that best matches how cost and labor scale with size. The earlier examples (Full vs. Singular) help illustrate why you might choose “Matrix” for some and “Each” for others.


Finalizing the Decoration

  • Before saving, double-check:
  • Pricing method is correct.
  • Photo uploaded (if applicable).
  • Employee Notes included.
  • Category and Tags assigned.
  • Click Save to make the decoration available for Custom Product builds.

Quick Steps Recap

  • Dashboard → Products → Product Types → Custom → Decorations Tab.
  • Create a new Decoration List with a descriptive name.
  • Add Decorations with names, photos, and employee notes.
  • Review Price Matrix (Size & Quality Groups).
