How to Bulk Import Products in BakeSmart

Bulk Import allows you to add new Standard Products to your BakeSmart catalog using a structured CSV file. This guide walks you through downloading the template, completing it correctly, and uploading it into the system.


Step 1: Open the Bulk Import Tool

  1. Log into BakeSmart.
  2. Go to Settings.
  3. Select Products.
  4. Click Bulk Import.

Step 2: Download the Blank Template

  1. Click Download Blank Spreadsheet.
  2. Open the file in your spreadsheet editor.

Important:

  • Do not rename or delete columns.
  • Only Standard Products can be imported using this method.
  • Delete the sample product included in the template before saving.

Step 3: Complete the Spreadsheet

Required fields:

  • Name
  • Category
  • Price (numeric only; no currency symbols)

Additional fields may be completed as needed, including Subcategory, Product Code, Sort Order, Department, Description, Notes for Employees, Alerts, and EBT Eligibility.

Formatting rules:

  • Price must be in plain number format (e.g., 2.50).
  • Required fields cannot be blank.
  • Columns must remain in their original order.

Save the completed file as a CSV (Comma-Separated Values).


Step 4: Upload Your CSV File

  1. Go to Settings > Products > Bulk Import.
  2. Click Choose File.
  3. Select your CSV.
  4. Click Upload.

BakeSmart will validate your file and attempt to import the products.


Step 5: Review Import Results

If successful:

  • All new Standard Products will be added to your catalog.

If unsuccessful:

  • The entire import will fail.
  • No new items will be created.
  • Error messages will appear in the Bulk Import screen.

Each error message identifies the row and field that must be corrected.


Step 6: Correct Errors (If Needed)

  1. Open your CSV file.
  2. Locate the rows and fields listed in the error messages.
  3. Make the necessary corrections.
  4. Save the file again as CSV.
  5. Reupload the corrected file.

Repeat until the file imports without errors.
