Understanding Payments Reports in BakeSmart

The Payments Report in BakeSmart gives you a clear view of all payments collected through the App, as well as any eligible payments taken through eCommerce or POS when those subscriptions are active on your account. This report helps you track how money is received, sorted, and reconciled across payment dates, methods, statuses, and users. Whether you're monitoring daily cash flow, reviewing refunds and voids, or isolating payments by cashier, the Payments Report provides flexible filtering tools to match your operational needs.

Where to Find the Payments Report

From the Dashboard:

1. Click Reports.
2. Select the Create Reports tab.
3. Choose Payments Report (the second report listed under this tab).

How to Use the Payments Report

The Payments Report uses several filters that shape the structure and content of your results. These filters allow you to sort payments by method, date, status, location, and transaction type, giving you control over how your report is organized.

Sort By Options

Sorting determines the order in which the report is built. The Payments Report supports stacked sorting, meaning you may choose one or multiple Sort By options.
At least one Sort By field is required to run a Payments Report.

Available Sort By options include:

• Payment Date
• Payment Method
• Location
• Payment Status (Payment, Refund, or Void)

How Stacked Sorting Works

The order in which you select Sort By fields determines how the report displays results.

Example:

• Payment Date → Payment Method
  • Report groups by date first
  • Inside each day, payments are grouped by method
• Payment Method → Payment Date
  • Report groups by method first
  • Each method then breaks down by date with totals

Stacking allows you to choose the structure that best fits the way you review daily, weekly, or monthly payment activity.

View Type

All Reports in BakeSmart use the same View Type options:

• Detail View – Shows each payment line individually
• Summary View – Rolls up totals based on your Sort By selections

Choose the view type that matches the level of information you need.

Date to Search

Select the date field the report should reference when pulling results. Options include:

• Payment Date
• Order Entry Date
• Fulfillment Date

This helps provide context for how payments relate back to order creation or fulfillment activity.

Date Window

Payments Reports include the standard BakeSmart Date Window options:

• Today
• Tomorrow
• Yesterday
• This Week
• Last Week
• Next Week
• This Month
• Last Month
• Next Month
• Custom Range

These options help you quickly create reports for expected accounting periods.

Location

If your bakery operates multiple locations, you may choose one or several to include in the Payments Report.
Single-location bakeries will see only their store listed.

Payment Status

Filter your report by the type of payment activity:

• Payment
• Refund
• Void

This allows for fast reconciliation of returns, cancellations, and corrected transactions.

Transaction Type

Use this filter to choose which types of transactions should appear in the report:

• All Transactions (default)
• Orders Only
• In-App Orders Only
• POS Sales Only
• All eCommerce Orders
• Same-Day eCommerce Orders Only

This is especially useful for bakeries balancing both daily retail POS sales and online orders.

Cashier Selection

For bakeries using a POS subscription, the Payments Report includes a Cashier filter.
Choose a single cashier to review only their collected payments.

This filter is commonly used for:

• Cash drawer reconciliation
• Shift reviews
• Spot audits

Saving & Scheduling the Payments Report

Payments Reports follow the same Save and Schedule system used across all BakeSmart reports.

You can:

• Save a report with all filters pre-selected for future reuse
• Schedule the report to be delivered automatically by email
• Choose daily, weekly, or monthly delivery depending on your workflow
