Learn how to find orders that need review and mark them reviewed, including what to do when you do not have review permission yourself.

Before You Start

  • Order Review must be turned on for your bakery. If you don't see Needs Review flags, an Owner or Admin may need to enable it. See Understanding Order Review.
  • Any staff member can start a review, but only the following roles can approve one on their own:
  • FOH Manager
  • BOH Manager
  • Owner / Admin
  • If you don't have one of these roles, you can still mark an order reviewed — you'll just need a manager with review permission to approve it with their PIN.

Steps

  • Find the orders that need review. In your orders list, flagged orders show an amber Needs Review chip, an amber row highlight, and an amber bar on the left edge. To see only these orders, turn on the Needs Review filter. You can combine it with your Wholesale or Retail filters.
  • Open the order and check it over — fulfillment date, fulfillment method, customer, items, and totals.
  • Select Mark Reviewed.
  • If you have review permission, the order is marked reviewed right away and you'll see an "Order reviewed" confirmation.
  • If you do not have review permission, continue to the next step.
  • Get manager approval (if prompted). A manager override prompt appears with the message "A manager with review permission must approve this order." Have a manager with review permission enter their PIN to approve.
  • Confirm it's cleared. The Needs Review flag disappears and the order shows "Reviewed by [name] on [date]." The review is also recorded in the order's history.

What Happens When You Review an Order

  • The flag is cleared. The order no longer appears under the Needs Review filter.
  • The reviewer is recorded. The order shows who reviewed it and when, and an entry is added to the order history.
  • Nothing about the order changes for the customer. Reviewing is internal confirmation only — it does not change pricing, fulfillment, or anything the customer sees.

If a Reviewed Order Comes Back as Needs Review

A reviewed order is automatically flagged again if someone makes a material change to it — for example, the fulfillment date or method, the delivery address or time window, the customer, the products on the order, or any money total (subtotal, total, tax, or discount). This is expected: the change needs a fresh review. Open the order, check the change, and Mark Reviewed again.

Simply placing an order that was already reviewed as a quote does not bring the flag back.

Important Notes

  • The PIN must belong to someone with review permission. If you enter a PIN that doesn't have permission to review orders, you'll see "That PIN doesn't have permission to review orders." Use a manager's or admin's PIN.
  • Reviewing is not the same as fulfilling or invoicing. Marking an order reviewed only clears the review flag; it does not place, fulfill, invoice, or pay for the order.
  • Walk-in POS sales are never flagged. If you're looking for a counter sale under Needs Review, you won't find it — those sales are excluded by design.
