Understanding Reports and Report Types in BakeSmart

Reporting in BakeSmart brings together all of the order activity happening inside your bakery. Every Standard Product, Custom Product, fulfillment rule, and order placed in the system feeds directly into the Reports Dashboard. BakeSmart’s reporting suite is designed specifically for production-focused bakeries that rely on accurate, reliable information to manage operations, plan production, review sales, and understand overall order behavior.

This article explains how reporting works, how reports are structured, the difference between Instant and Scheduled Reports, and introduces the four core report types available within BakeSmart.


Accessing Reporting

Reporting is located directly on your Dashboard. Users with the proper permissions will see the Reports icon, which opens the Reporting Menu.

The Reporting Menu displays:

  • Saved Reports
  • Scheduled Reports
  • Report templates available for use

Reports reflect real-time order activity based on the features that are active in your BakeSmart account.


Instant Reports vs. Scheduled Reports

BakeSmart offers two types of reports—both can be saved for future use.

Instant Reports

Instant Reports are created on demand and can be saved.
Saved Instant Reports appear under the Saved Reports section of the main Reports page. These reports do not auto-generate; they simply preserve your selected criteria so you can run them again without rebuilding settings.

Scheduled Reports

Scheduled Reports are saved reports that include automation. These reports:

  • Generate automatically based on the selected frequency (daily, weekly, monthly)
  • Generate at a specific time of day
  • Deliver themselves to designated recipients

A valid email address is required to create a Scheduled Report.
Both Instant and Scheduled Reports appear on the main Reports page, with Scheduled Reports noted for their automated delivery schedule.


Key Reporting Filters

Most BakeSmart reports share a standard set of filter tools, allowing bakeries to refine the information shown without recreating the report each time.

Date Window

Common selections include:

  • Today
  • Yesterday
  • Tomorrow
  • This Week / Last Week / Next Week
  • This Month / Last Month / Next Month
  • Custom date range

Location

For multi-location bakeries, reporting may be limited to one store or expanded across all locations.

View Type

  • Summary – high-level view
  • Detail – expanded transactional or item-level visibility

Date to Search

Depending on the report type:

  • Fulfillment Date
  • Entry Date

How Reporting Is Used

BakeSmart reporting supports bakery operations by providing visibility into:

  • Daily production needs
  • Fulfillment schedules and order readiness
  • Sales volume and patterns
  • Payment behavior and outstanding balances
  • Seasonal or holiday ordering trends
  • Multi-location performance
  • Forecasting for upcoming days or weeks

Whether reviewing a single day or analyzing longer-term trends, BakeSmart reporting reflects real order activity across your bakery.


Core Report Types in BakeSmart

BakeSmart includes four standard report types that apply to all bakeries using the platform.

Transaction Reports

Transaction Reports provide visibility into order-level activity, including fulfillment details, order status, payment status, and order source. These reports include open, closed, cancelled, draft, and quote orders.

Payment Reports

Payment Reports display payment activity and include filters for payment status (payments, refunds, voids), transaction types tied to each status, and cashier filtering.

Item Reports

Item Reports reflect all ordered items, including items from open, closed, cancelled, draft, and quote orders. Because these reports include unconfirmed items, they are useful for forecasting possible production needs.

Ordered Items Reports

Ordered Items Reports show only confirmed items, meaning items from placed, partially paid, or fully paid orders. These reports exclude quotes and drafts and focus on products that will actually need to be produced or fulfilled.
