Understanding & Using PIN Mode in BakeSmart

Overview

BakeSmart is accessed through a web browser at app.bakesmart.com and supports two distinct modes of access: Admin/Manager Access and PIN Mode. Each mode serves a specific role in daily bakery operations and helps ensure security, accountability, and efficient order management on shared devices.

This article explains the difference between these access types, how to enable PIN Mode on a device, how employees use it, and how managers exit PIN Mode when needed.


Accessing BakeSmart

BakeSmart is a web-based application and can be accessed from any internet-ready device, including:

  • iPads
  • Tablets
  • Laptops and desktops
  • Most POS stations with a modern browser

To access BakeSmart, open a browser and go to:
app.bakesmart.com


Admin / Manager Access (Email & Password)

Admin and Manager access provides entry to the full BakeSmart system.

This access level is used for:

  • System and location settings
  • Product creation and maintenance
  • Employee setup and permissions
  • Reporting and administrative tools
  • Enabling and exiting PIN Mode on devices

Users log in using their email address and password. Access is permission-based and should be limited to owners, managers, and approved administrators.


PIN Mode (Employee Order-Taking Access)

PIN Mode is a restricted interface designed for daily front-of-house use.

  • It allows employees to:
  • Start new orders
  • Look up existing orders
  • Complete customer pickups
  • Perform basic order-management tasks

Each employee is assigned a unique 1–6 digit PIN. When logged in with a PIN, the user sees a simplified version of the dashboard that only includes the actions they are allowed to perform. PIN Mode intentionally restricts access to settings, product setup, and administrative tools.

This makes PIN Mode ideal for shared counter devices.

How to Enable PIN Mode on a Device (Manager Required)

PIN Mode must be enabled individually on each device.

  1. Open a browser on the device you want to use (iPad, tablet, laptop, POS station).
  2. Go to app.bakesmart.com.
  3. Log in using a Manager/Admin email and password.
  4. On the Home Screen, locate the + New Order button.
  5. Click the PIN MODE button next to + New Order.

Once enabled, the device will display the PIN entry screen whenever BakeSmart is not actively in use.


How Employees Use PIN Mode

1. From the PIN entry screen, the employee enters their assigned 1–6 digit PIN.

2. The employee selects the action they want to perform:

  • Start a new order
  • Look up an order
  • Pick up an order

3. BakeSmart opens a simplified dashboard that allows only the selected action and approved tools.


How to Exit PIN Mode (Manager Only)

Only approved manager credentials can exit PIN Mode.

  1. From the PIN Mode screen, select Exit PIN Mode.
  2. When prompted, enter Manager/Admin email and password.
  3. Confirm to return the device to full Admin/Manager access.

Important operational note:
The manager who logged into the device to enable PIN Mode should also be the person who exits PIN Mode when administrative access is needed.


Best Practices for PIN Mode

  • Use PIN Mode on all shared counter devices.
  • Reserve Email/Password logins for managers only.
  • Devices do not need to be logged out daily.
  • PIN Mode can remain active indefinitely.
  • Exit PIN Mode only when full administrative access is required.
