Understanding Transaction Reports in BakeSmart

Transaction Reports give bakery teams a complete view of all order activity within a selected date range. Because this report includes every order status—confirmed or unconfirmed—it is the most comprehensive source of order-level information inside BakeSmart. Transaction Reports are designed to help bakeries understand what was ordered, when it is required, how it will be fulfilled, and the current financial or operational status of each order.

This article explains the purpose of Transaction Reports, the types of information they contain, and the filters available when building this report.

What Transaction Reports Show

Transaction Reports focus on order-level details. These reports display the following types of information:

  • Fulfillment date and fulfillment time
  • Order entry date (the date the order was created)
  • Order status, including:
    • Open
    • Closed
    • Cancelled
    • Quote
    • Draft
  • Payment status, including paid, unpaid, partially paid, refunds, and other recorded payment states
  • Order source, such as in-app ordering, POS orders, or eCommerce orders (if applicable to your account)
  • Location, for bakeries operating multiple stores

Because all order types are included—active, inactive, confirmed, and unconfirmed—Transaction Reports provide a complete snapshot of overall order behavior.

Filters Available in Transaction Reports

Transaction Reports use a combination of universal BakeSmart filters and filters specific to this report type. These filters give bakeries the flexibility to focus on the exact transaction details they need.

View Type

  • Summary – A condensed view showing high-level details
  • Detail – A more expanded view with additional data per transaction

Date Window

Transaction Reports include BakeSmart’s universal date range selector, offering:

  • Today
  • Yesterday
  • Tomorrow
  • This Week
  • Last Week
  • Next Week
  • This Month
  • Last Month
  • Next Month
  • Custom date selection

This allows bakeries to review anything from daily order flow to long-term trends.

Date to Search

Transaction Reports can be viewed using two perspectives:

  • Fulfillment Date – When the order is scheduled to be picked up, delivered, or shipped
  • Entry Date – When the order was originally created in BakeSmart

This filter helps teams analyze workflow patterns across both order creation and fulfillment timelines.

Location Filter

For multi-location bakeries, reports can be narrowed to a single location or expanded to view all locations at once.

Transaction-Specific Filters

These additional filters are unique to Transaction Reports and allow deeper visibility into order activity.

Transaction Type

This filter specifies which order sources appear in the report. Options include:

  • All Orders (default)
  • Orders Only
  • In-App Orders Only
  • All eCommerce Orders
  • Same-Day eCommerce Orders
  • POS Orders

This allows bakeries to compare order behavior across different ordering channels.

Fulfillment Status

Transaction Reports include the full range of order states. You may choose any combination of:

  • Open
  • Closed
  • Cancelled
  • Quote
  • Draft

By default, Open and Closed orders are selected, but all statuses are available depending on what you need to review.

Payment Status

This filter focuses on how each order has been paid (or not). Options include:

  • Paid in Full
  • Unpaid
  • Partial Payment
  • Full Refund
  • Partial Refund
  • Payment Request Sent

This makes it easy to identify orders needing follow-up, monitor refund activity, or verify payment trends.

How Bakeries Use Transaction Reports

Transaction Reports are used across bakery operations to:

  • Review overall order volume within a selected time period
  • Understand upcoming fulfillment requirements
  • Identify unpaid or partially paid orders
  • Audit order activity across in-app, POS, and eCommerce
  • Monitor quote and draft activity for forecasting
  • Compare behavior across multiple locations
  • Review historical ordering patterns during holidays or high-volume weeks

Because Transaction Reports include all order types, they are valuable for both operational and administrative review.
