How to Use/Access Bulk Import Using Master Product Spreadsheet in BakeSmart

The Bulk Import feature in BakeSmart allows you to add or update large batches of products all at once—streamlining your onboarding, seasonal launches, and major catalog changes.This article covers how the Bulk Import feature works, what the spreadsheet includes, and best practices for getting your product data into BakeSmart efficiently and accurately.

What Is Bulk Import?

Bulk Import is a company-wide product management feature that lets you upload many products at once—without manually entering them one by one. It’s most often used during:

  • Initial onboarding
  • Seasonal product rollouts
  • New product line launches
  • Major catalog overhauls

Rather than relying on manual entry, you’ll fill out a structured Google Sheets file—the Master Product Spreadsheet—then upload it directly through the app.

What Is the Master Product Spreadsheet?

The Master Product Spreadsheet is the tool used with the Bulk Import feature. It includes fields for your full catalog setup—standard products, custom items, pricing, category assignments, and more.

The spreadsheet contains two primary tabs:

  • Standard Products – Everyday items sold as-is (e.g., cookies, bread, drinks).
  • Custom Items – Personalized products (e.g., custom cakes, cupcakes, cake pops).

💡 Advanced product types like bundles, gift cards, and signature items will be handled later in the onboarding process with your specialist.


What You’ll Need for Each Product

Here’s a quick guide to the fields included in the spreadsheet:

CategoryHigh-level grouping (e.g., Bread, Pastries).
SubcategoryMore specific grouping within the category.
PriceBase price of the product.
Product CodeInternal identifier for tracking.

DescriptionCustomer-facing product description.
Notes for EmployeesInternal staff notes for upselling or special handling.
AlertSet to “true” or “false” for popup alerts during ordering.
Alert MessageText that appears in the alert box.
EBT EligibleSet to “true” or “false” if eligible for SNAP/EBT.

 

💡 You only need a product name, price, and category to get started. Your onboarding specialist will help you complete the rest.


Accessing the Spreadsheet

You have two options:

1. Use the collaborative Google Sheets file provided by your onboarding specialist

  • Best for live collaboration
  • Used during onboarding

2. Download a blank template in the BakeSmart App

  1. Go to Settings > Products > Bulk Import
  2. Click Download Blank Spreadsheet to get a fresh template
  • Ideal for future product line additions or seasonal updates

Uploading Products Using Bulk Import

Once your spreadsheet is ready:

  1. Download it as a CSV file (File > Download > Comma-separated values).
  2. Go to Settings > Products > Bulk Import in the BakeSmart app.
  3. Click Choose File and upload your completed CSV.

BakeSmart will process the file and add the new products to your catalog.

💡 BakeSmart will automatically skip any products that are already in the system to avoid duplicate entries.


Best Practices for Bulk Import

  •  Use only the template provided by your onboarding specialist or downloaded in the app.
  •  Never delete columns, rename headers, or reformat.
  •  Use the Notes column to flag items you’re unsure about.
  •  Keep naming, category, and pricing consistent.
  •  Double-check your Department and Category assignments for clean reporting.
